Privacy Policy

Manly Vale Football Club | Version 1 | Last updated: 5 November 2026

This policy explains how Manly Vale Football Club (MVFC, we, us or the Club) handles personal information through our website, the Manly Vale FC mobile application (the App), forms, communications and football activities. We are a volunteer-run community football club on Sydney’s Northern Beaches, NSW.

It applies to players, parents and guardians, members, coaches, team managers, volunteers and others who deal with us. We aim to handle information responsibly and in accordance with applicable Australian privacy laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles where applicable. Where consent is required, we will seek it.

1. Information we collect

The information we collect depends on your involvement with the Club, the services and App features you use, and what you provide. We aim to collect only information reasonably necessary for those purposes.

Contact and account details: name, email address, telephone number, date of birth or age group, parent or guardian details, emergency contacts, communication preferences, enquiries, and account username and authentication information where accounts are used.

Football and participation details: membership and registration status, team, age group, division, coaching or volunteer roles, attendance, event registrations and information needed to administer participation. Fixtures, results and related competition information may be provided by football associations or competition administrators.

Health and sensitive information: medical conditions, allergies, injuries, accessibility needs or other information reasonably necessary for player safety, emergencies or appropriate Club administration. We obtain consent where required and do not use health information for general advertising or unrelated promotion. Please use an appropriate Club process rather than a general enquiry form to provide sensitive information.

Photos, videos and messages: content you submit through available features or provide to the Club for communications and activities. We consider permissions, consent and safeguarding requirements before sharing or publishing identifiable content, particularly content involving children.

Transactions: registration, event or purchase details, payment status and confirmations where relevant. External payment providers handle payment information under their own terms and privacy policies. The information we receive depends on the service used.

Technical information: depending on the website or App configuration, this may include IP address, browser and device type, operating system, App version, usage and performance information, crash reports, device identifiers used for functionality or security, and notification tokens and preferences where push notifications are enabled. This supports operation, security, troubleshooting and improvement.

2. How we collect and use information

We collect information from you through forms, enquiries, registration processes, communications and available App features. We may also receive relevant information from parents or guardians, authorised Club representatives, football organisations, competition administrators and service providers. Technical information may be collected automatically by our digital services.

If you provide information about someone else, you should have authority to do so and, where appropriate, make them aware of this policy.

We use information to administer membership and registration; organise teams, training, matches, events and volunteering; communicate fixtures, results and Club updates; respond to enquiries; process transactions; support safety and safeguarding; operate accounts and digital services; diagnose problems and prevent misuse; and meet legal, insurance and record-keeping requirements.

We may send Club news, event information and promotional communications where permitted by law and consistent with your preferences. You can use an available unsubscribe option or contact us to update those preferences. Essential membership, competition, safety and service messages may still be sent. We will not use information for unrelated purposes without appropriate consent or another lawful basis.

3. Children, families and photographs

Junior football is an important part of our Club. Parents and guardians may provide children’s details to support registration, participation and safety. We limit access to children’s information to authorised people who need it for a legitimate Club purpose and encourage parents and guardians to supervise children’s use of relevant App features.

We consider age, circumstances, consent and safeguarding requirements before publishing children’s names, photographs, videos or other identifying information on the website, in the App or in Club communications. Providing information to the Club does not automatically make it suitable for public sharing.

We will not knowingly use children’s information for unrelated advertising or promotion. Parents and guardians can contact us about their child’s information, request access, correction or deletion, or raise concerns about an image. Requests are subject to applicable legal and safeguarding requirements.

4. Who we share information with

We may share information with authorised committee members, administrators, coaches, team managers and volunteers to the extent needed for their responsibilities.

Relevant information may also be shared with football associations and governing bodies, including Manly Warringah Football Association, Football NSW and Football Australia, and competition administrators where necessary for registration, eligibility, participation, safety or compliance. These organisations may have their own privacy policies.

Technology and service providers may handle information for hosting, storage, authentication, email, notifications, technical support, analytics, crash reporting, registration or payment processing, depending on the services used. We take reasonable steps to ensure providers handling information for us protect it appropriately.

We may disclose information with your consent, as permitted or required by law, or where reasonably necessary for emergencies, safeguarding, investigating unlawful activity or protecting legal rights. Authorised team information, results and photographs may be shared with members or the public for relevant Club purposes.

We do not sell personal information as part of our Club operations. We do not sell contact details for third-party marketing or disclose them to sponsors for their own direct marketing without appropriate consent or another lawful basis.

5. Website cookies and external services

Our website may use cookies and similar technologies for functionality, preferences, security and usage measurement. Depending on the features you use, embedded content and external services may also receive technical information and use their own cookies. You can manage cookies through your browser settings, although disabling them may affect some features.

Our website and App may link to registration, competition, payment, social media and other external services. Information you provide directly to an independently operated service is handled under its privacy policy. Please review that policy before providing information.

6. Overseas storage and processing

Some technology providers may store, access or process personal information outside Australia. The locations depend on the providers and services used. You can contact the Club for information about overseas handling relevant to your enquiry.

Where Australian Privacy Principle 8 applies, we will take the steps required before disclosing personal information to overseas recipients, subject to any applicable exception. We take reasonable steps to ensure information handled by service providers is protected appropriately.

7. App permissions and notifications

Some App features may require device permissions, such as notifications or selecting photographs. We will not access precise location, contacts, camera, microphone or other sensitive device information unless the relevant feature requires it, appropriate permissions are obtained and required disclosures or consent are provided.

Where push notifications are enabled, the App or notification provider may process a notification token and preferences to deliver messages. You can manage permissions and disable notifications in your device settings or available App settings. Disabling them may mean you miss some Club updates.

8. Security and retention

We take reasonable technical and organisational steps to protect information from misuse, interference, loss, unauthorised access, modification and disclosure. Measures may include access controls, restricted administrative permissions, secure transmission and appropriate hosting arrangements. No electronic system can guarantee absolute security. We respond to eligible data breaches in accordance with applicable notification requirements.

We retain information only as long as reasonably necessary for its purpose and applicable legal, financial, insurance, competition, safeguarding or record-keeping requirements. Account information may be kept while the account is active and while deletion is processed. Membership and safety records may need to be retained longer. Technical logs are kept for periods appropriate to security and troubleshooting. Information no longer required is securely deleted or de-identified where appropriate.

9. Request account or information deletion

To request deletion of your Manly Vale FC App account and associated personal information, email secretary@manlyvalefc.com.au with the subject “Manly Vale FC account deletion request”. Include your name and the email address associated with your account. Do not send your password. You can make this request without reinstalling or signing into the App.

Where the App provides an account, you can also use Settings > Account > Delete Account, or the equivalent account-deletion option. To request deletion of other personal information held by the Club, use the same email address and describe your request.

We may verify your identity or authority before acting. Following a verified account-deletion request, we will delete the account and delete or de-identify associated personal information, except information we are permitted or required to retain for legitimate legal, security, financial, safeguarding or other record-keeping purposes. We will explain any necessary retention and the expected timeframe when responding. Retained information will be restricted to the relevant purpose and deleted when no longer required.

Information in routine backups may remain until the normal backup-retention cycle removes it. Where providers process account data on our behalf, we will take appropriate steps to have them action the deletion too. Deleting a Club App account does not automatically delete records independently held by a football association or other independent service; you may need to contact that organisation separately.

10. Access, corrections and complaints

You can email secretary@manlyvalefc.com.au to request access to information we hold about you, correct inaccurate or outdated information, or raise a privacy complaint. We may verify your identity and authority to act for another person. Where applicable, we will explain if we cannot provide access or need to retain a record.

For complaints, please describe what happened and the outcome you are seeking. We will investigate fairly and aim to respond within 30 days where practicable. More complex matters may take longer. If you are dissatisfied and the matter falls within its jurisdiction, you may be able to complain to the Office of the Australian Information Commissioner (OAIC).

11. Updates and contact

We may update this policy as our activities, services or legal requirements change. The current version will be available on this website and through the relevant App privacy-policy link. We will provide notice of significant changes where required.
